The report that we read every day in the newspaper is called a news report. A news report is a written account of a fact that is currently happening or that has just happened. It is designed to share important information. The main purpose of a news report is to help readers get the true information about the event. A good report is factual, concise, chronological, and informative.


It is formal in style and impersonal in tone. It is written from an objective point of view. A good reporter avoids chatty or friendly language. He/she gives the most important information first so that the reader receives the most important information first. In a news report, we find an eye-catching headline/title, by line, place, and date reporting, the lead or introduction, the body, and the concluding paragraph. The core objective of a news report is to convey the facts compellingly so that the reader can grab it.

A news report is a written account of a fact that is currently happening or that has just happened. It is designed to share important information. The format of the possible structure/elements/parts of a news report is given below:


  1. Headline/Title: Headline/Title expresses the contents of the report.

  2. Byline: The name of the writer

  3. Place and date of reporting: It describes where and when the event took place.

  4. Lead or introduction: It is an expansion of the headline and here a reporter enquires about 5W's and one H's questions.

  5. Body: It supplies details.

  6. The concluding paragraph: Generally it contains the comments of the people, the action that has been taken or that will be taken, and the recommendations.

What does a reporter enquire about in writing a news report?/What are the principles of a report?

A good reporter always wants to share true and important information. He/she writes his/her news from an objective point of view. He/she gives the most important information first so that the reader receives the most important information first. He/she enquires six principles or 5 W's and one H question to make his/her news authentic, Generally in the lead, or in the introduction, we get these 5 W's and one H question.


  1. What?

  3. Where?

  4. When?

  5. Why? and

  6. How?


A reporter always enquires these six questions. Here 'What represents the action of the frat is a business function. When represents Date and time. "Why' represents the reason. 'How' tells us how A business reports in event. 'Who' represents the people involved in the action. "Where” represents the place the the action was done.

The prefatory parts include-

  • List of illustrations

  •  Executive summary or abstract


The second part is called the main text or the body. It includes-


  • Introduction

  • Conclusions

The third part is called the supplementary part. It includes-

Topic sentence

Lead sentence

a. The introduction of a report is known as the lead.

b. The Lead tells the reader what the story is about and why it's important.

c. The lead tells the reader who, what, where, when, why, and how things happened. 

d. The core objective of a Newport is to convey the facts in a compelling and easy-to-understand manner.

e. It may be long or short.

What is a Business Report?

 A business report is a means of presenting intonation. It is a written account that helps businessmen run their businesses smoothly. In a business report, we find usually a Title page, Acknowledgements, Table of contents, List of illustrations, Executive summary or abstract, Introduction, Body, Conclusions, Recommendations, Appendices/ appendices, and Bibliography. Glossary of Technical Terms, Index, etc. The purposes/objectives of a business report are given below:


  • A business report brings forward new ideas.

  • It shows and solves problems.

  • It allows the reader to plan for the future. It helps monitor the organization regularly.

  • It shows the risk factors.

  • It conveys information in decision-making.

What is an executive summary?

An executive summary/abstract is an overview of the main points of a larger report. It is often written for the leading personalities of an organization as they may not have time to review the entire report. So they can get critical information quickly and can be able to make a decision quickly. A good executive summary should be complete, concise, chronological, specific, and self-sufficient.

What is a survey report?

A survey report is a formal report based on research. There are three parts to a survey report: the introduction, body, and conclusion. The introduction of a survey report expresses the purposes or the aim of the report. It includes a cover, title page, acknowledgments, table of contents, list of illustrations, executive summary, or abstract. All the information is presented in the body. The conclusion summarizes the findings and if necessary includes recommendations.
